Music Club Fortissimo (“we,” “our,” or “us”) respects your privacy and is responsible for processing and protecting your personal data. This privacy policy explains how we collect, use, store, and share your personal data when you visit our website, interact with our online forms, contact us, become a member, or communicate with us through social media.

Music Club Fortissimo is a student music association for all students in Tilburg. We bring together students who share a passion for music and organise rehearsals, concerts, and other musical activities in a welcoming and inclusive environment.
Music Club Fortissimo processes your personal data because you use our website and/or because you provide these data to us yourself.
We collect personal data in the following ways:
Website forms: If you fill out our forms, you give us your consent to collect the personal data you provide so we can reply to your message and, in the case of a registration form, fulfil your request to join the club and be added to our member registry.
Physical forms: Personal data provided on paper, such as written registration forms, will be digitalised and the physical copies securely destroyed. After digitalisation they are treated the same as Website forms.
Email: When you contact us by email, we only process the personal data you provide to respond to your inquiry.
Third-party services:
Our website is hosted on Google Sites. We use Google services including YouTube, Google Calendar, Google Forms, Gmail, and Google Drive to deliver our services and store data securely. You can read more about how Google handles your data on their Google Privacy & Terms page.
For social media we use Meta platforms such as WhatsApp, Instagram, and Facebook to communicate with members and the public. When you interact with us on these platforms, your personal data is also processed by Meta. You can find more information on how Meta handles your data in their privacy policies for Meta products and WhatsApp. We do not control Meta’s processing but only use the data you voluntarily provide through direct messages to contact you or respond to your inquiries.
Embedded content on our website: Our site includes embedded features from third parties, which may collect data such as your IP address, browser type, and interaction data when you view or interact with the embedded content.
Instagram feed: Provided by Meta. You can read more about how Meta handles your data in in their privacy policy for Meta products.
YouTube videos: Provided by Google. Viewing embedded YouTube videos may allow Google to collect data as described in their Google Privacy & Terms.
Google Forms: Provided by Google. When you submit a form, your responses and any personal data entered are processed by Google according to their Privacy & Terms.
Photographs and Video Recordings: We may take photographs or make video recordings during our events to capture special moments. These images may appear on our website or social media channels. Participation in events does not require consent to media use. If you do consent, you will have the option to give consent during registration. You can withdraw your consent at any time, and we will stop using your images going forward.
We will not use or sell your personal data for any marketing purposes.
Our website may use cookies set by Google services embedded in our site. These cookies are mainly functional and help ensure proper operation of the site and improve your browsing experience. You can manage or disable cookies in your browser settings. Some features of the site may not work if cookies are disabled.
Our website and services are not intended to collect sensitive personal data or data about visitors under the age of 16. We cannot, however, verify whether a visitor is over 16. We therefore recommend that parents are involved in the online activities of their children to prevent the collection of data without parental consent. If you believe we have collected personal data about a minor without that consent, please contact us at mcfortissimo@gmail.com, and we will delete this information.
All personal data is securely stored within our Google environment and is only accessible by the active Music Club Fortissimo board. We take appropriate technical and organisational measures to protect your data from unauthorised access, disclosure, or loss.
We do not retain personal data for longer than necessary for the purposes for which it was collected:
Member registry: Personal data is retained for the duration of your membership and for up to two years after your membership ends. Data may be retained longer if required by law or necessary to resolve outstanding issues such as payments or inquiries.
Ex-member WhatsApp group: If you voluntarily join the WhatsApp group for ex-members, your phone number will be stored only as long as you remain part of the group. When you leave the group, no records are kept on our side.
General inquiries (website, email, social media): Personal data is retained only as long as necessary to respond to your inquiry or for a maximum of two years to maintain a record of communications and ensure smooth knowledge transfer across our boards.
For the purposes of obtaining subsidies, we are obliged to share the member registry with the relevant authorities. This is done strictly to comply with legal obligations and for no other purpose. There will be no further sharing of your personal data.
Photographs or video recordings made during our events are only shared on our website or social media channels if you have given consent. Participation in events does not require consent to media use and you can withdraw your consent at any time.
You have the right to access, correct, or delete your personal data. You also have the right to withdraw any consent for data processing or object to the processing of your personal data by Music Club Fortissimo, and the right to data portability. This means you can request that the personal data we hold about you be sent in a computer-readable file to you or another organisation you specify.
Requests for access, correction, deletion, data portability, withdrawal of consent, or objection to processing can be sent to mcfortissimo@gmail.com. We will respond as quickly as possible, but within four weeks.
